Input Fields in the COM Investigator Screen

The majority of the feedback information displayed in the COM Investigator screen is filled in with information from the COM Representative screen.

The following table provides a description of the input fields that are displayed exclusively in the Investigator and Actions sheets in the bottom-right pane of the COM Investigator screen.

Field Description
Date Before any action is recorded for the feedback, the date shown is the date when the feedback was originally logged. When you record and save an action, however, the current date is stamped in this field.
Time Before any action is recorded for the feedback, the time shown is the time when the feedback was originally logged. When you record and save an action, however, the current time is stamped in this field.
Sequence Numeric indicator generated by the system when an action is saved. The first action is 1, the second is 2, and so on.
Action Type Action taken to address the feedback.

Investigator Action Types are defined in ancillary data. If an action type is associated with the Charge Recommended and/or Valid options, that is, the Charge Recommended and Valid check boxes are selected in the ancillary data screen, and it is the last action type selected for a feedback, the Charge Recommended and/or Valid check boxes are selected accordingly in the COM Investigator screen.

Active When this check box is selected, the selected action (investigation) is still ongoing. If clear, this action (only this action in cases where there are multiple actions) for the feedback is considered complete. The check box is automatically cleared when the feedback is marked Closed.
Response Method Method used to contact the customer.
Action Id ID number autogenerated by the system to identify the action. You can have multiple action records for a subject. Each one is assigned a unique identification number.
Parent Action When a user forwards feedback to another department or investigator, a new action record is created. In the new action record, the Parent Action field displays the Action Id number of the record from which the feedback was created. For all other action records (single action records or records created independently), this field displays 0.
Subject Id ID number that is generated by the system when a feedback entry or subject is saved. This ID number is different from the Feedback Id. When another subject entry is saved for the feedback, another unique Subject ID is generated.
Call Back Details Text field used to describe details concerning a call back to the client.
Post Resolution Follow-up Text field used to type details concerning the post resolution follow-up.
Recommendation Text field used by the investigator to record comments or recommendations associated with the feedback.
Employee Comments Text field used to type comments from the employee involved in the incident.

Investigator

Shows the list of investigators from which you can select an investigator. The list is created in the Investigators ancillary data screen. An investigator may be associated with multiple departments and divisions.

By default, COM automatically assigns the designated primary investigator of the selected department/division. (If no primary investigator has been designated, the field is empty.) The drop-down list shows the investigators within the selected department.

Investigator Name Name of the selected investigator.
Investigator Phone Phone number of the selected investigator that is defined in the Investigators screen.
Pager Number Pager number of the selected investigator that is defined in the Investigators screen.
Investigator Email Email address of the selected investigator.
Investigation Text Text field used to type details about the investigation.
Investigator Comment Text field used to type comments from the investigator.

Date Logged

Date when the action is created.
Time Logged Time when the action recorded is created. For the first action record (created simultaneously when the feedback is saved), this field is stamped with the same time as that logged for the feedback entry.
Method Received By Method by which the investigator received the feedback (for example, phone or email) if the investigator received the feedback through means outside of the COM system.
Division Division assigned to address the action. Before any action is recorded, this field displays the division selected for the feedback entry in the top-right pane. You can choose another division if necessary to indicate that the selected action is being assigned to another division.

Department

Department assigned to address the action. Before any action is recorded, this field displays the department selected for the feedback entry in the top-right pane. If the action is assigned to another department, you can choose another department.
Department Detail General text field used to type comments about the department.
Investigation Complete When this check box is selected, the whole investigation and all actions associated with the investigation have been completed.
State Description Types of state defined by your transit site to describe the tasks or actions performed by various employees, for example, investigators.
WorkFlow Types of workflow defined by your transit site. Workflows are sets of tasks or actions performed by various employees in order to resolve an issue or respond to feedback.
