Defining Clients as Inactive

Marking clients as inactive is preferred over deleting records to maintain complete service records.

Before you begin

Client Registration must be open.

About this task

Clients may be inactive for a variety of reasons. For example, a client who no longer uses paratransit may have a negative balance or may have recovered from a temporary condition that allowed paratransit use.

Procedure

  1. Search for and select the client.
  2. Click the General tab.
  3. Select the InActive check box.
  4. From the InActive drop-down list, select a status type.
    If the record is saved with an InActive status type but without the InActive check box selected, a warning message appears.
  5. Click the Save button.
    If the client has trips booked, the Client Marked as InActive dialog box appears. Otherwise, the new client status is saved.
  6. In the Client Marked as InActive dialog box, select one of the following:
    OptionDescription
    Leave Unchanged Marks the client's status as inactive. Click OK.
    Cancelled Does not mark the client as inactive. Select a Cancellation Status. Click OK.
    Cancel Does not mark the client as inactive.
    The Client Marked as InActive dialog box closes and the Insert Tracker Action Log dialog box may appear.
  7. If the Insert Tracker Action Log dialog box appears, do the following:
    1. Select a Track Code.
    2. Select a Comment type.
    3. Type a comment in the text field.
    4. Click OK.
  8. Click the Save button:
