Assigning Client Funding Sources

Client funding sources may pay for some or all of the client's trips. Funding sources assigned in Client Registration appear in Trip Booking when booking a trip for a client.

Before you begin

Client Registration must be open.

Funding sources ancillary data must be created by a system administrator. There are also two supplementary data fields on the Funding Sources tab that can be defined as needed.

Procedure

  1. Search for and select the client.
  2. Click the Funding Source tab.
  3. Click Add.
  4. Select the client's Funding Source.
    If the client's funding source is not listed, contact a system administrator.
  5. Type the client's Eligible From and Eligible To dates for the funding source.
  6. Optional: To make this funding source a default, select the Default check box and select a Sequence number.
    You can have up to five default funding sources. If a default funding source is defined as 1, it will pay for the trip before all other funding sources. Any other default funding sources are applied in sequence. For example, 2 then 3.

    The amount that the funding source pays is determined by the terms set for it by a system administrator in Funding By Locations and Funding Allowances ancillary data.

  7. Click the Save button:
    Diskette.
    Funding sources that have been assigned and marked as inactive are visible but cannot be edited.
    Inactive funding sources can be deleted from the client record and cannot be selected in Trip Booking.

Results

In Trip Booking, assigned funding sources (default and not default) can be selected in the five available Funding Source lists. These funding sources are marked by an asterisk (*) and default funding sources appear in the specified sequence.

If a funding source does not appear in sequence, click File > Properties. On the Booking Screen tab, click Default all client funding sources and confirm that the property is set to Yes. If the property is set to Yes, check the client eligibility dates.
