Creating Provider Records

Providers that can be assigned are defined in PASS ancillary data.

Before you begin

The Trapeze4 Workstation must be open to Providers ancillary data.

About this task

If the transit site no longer uses a provider, mark it as InActive so that the provider will still appear on the Select tab in Providers ancillary data but is not included as an option in any of the Provider lists.

Procedure

  1. On the toolbar, click the Add New button:
    Page with an upper-right folded corner and a starburst on the left side.
    The Detail tab appears.
    The Detail tab in Providers ancillary data. It includes fields such as Code, Name, Description, and Address.
  2. On the Detail tab, provide the following information as needed:
    Code
    Type a code for the provider.

    If no code is specified, other providers will be able to see this provider's information (trips, runs, clients, and so on).

    Name
    Type an abbreviation for the provider.
    Description
    Type the full name of the provider.
    Contract Start
    Type the start date of the provider's contract.
    Contract End
    Type the end date of the provider's contract.
    Address
    Type the provider’s address.

    If you have arranged with your Trapeze Customer Care representative to have geocoding functionality in this dialog box, you can use the Address Matching and Mouse options to geocode the address.

    E-Mail
    Type the provider's e-mail address.
    Area Type
    The polygon type the provider falls within.

    Polygon types can be added or edited through File > Ancillary Data > General > Polygon Types.

    Service Area
    If your provider is restricted to a specific area within the polygon type, click the service area (polygon abbreviation) in the Service Area list.

    Refer to the PASS System Administrator and User Guide for instructions on managing polygons.

    Service Area Rule
    Click a rule.

    The default rule is Pickup and Dropoff.

    Comment
    Type any comments about the provider.
    InActive
    Specify whether the provider is inactive or not.

    Selecting this option will prevent the provider from appearing in any Provider lists.

    TNC
    (Trip Broker TNC Module only) Indicates the provider is a transportation network company.

    If selected, define the Allowed space types for clients scheduled to provider runs.

    Client Prepayment Required
    Indicates prepayment is needed from the client before the trip can be scheduled to this provider's runs. Typically, this option is used with EZ-Wallet for TNC providers.
  3. On the Site tab, provide the following information as needed:
    Security Group Name
    Click the security group that can view and edit information about the provider.
    Site Name
    Type the name of the provider's site.
    Trading Name
    (Trapeze Finance & Contracts - UK Only) Type the name used if the provider operates and trades under an identity separate from their legal identity. For example, Provider X trading as Provider Y.
    Short Name
    Type a short name for the provider.
    Registration No
    Type the provider's registration number.
    Account No
    Type the provider's account number.
    License No
    Type the provider's license number.
    License Type
    Type the provider's license type.
    License Expiry Date
    Type the expiry date of the provider's license.
  4. On the Contact tab, type the information of the contact person at the provider agency as needed:
    First Name
    Type the provider contact's first name.
    Middle Initial
    Type the provider contact's middle initial.
    Last Name
    Type the provider contact's last name.
    Phone
    Type the provider contact's phone number.
    Enquiry Phone
    Type the provider contact's enquiry phone number. For example, 1-800-555-1234.
    Fax
    Type the provider contact's fax number.

    You can enter multiple contacts for a provider using the Contact Info dialog box on the Detail tab.

  5. On the Misc tab, enter any Supplementary Data.
  6. Click the Faring button to define how the provider’s cost of serving a trip is computed for Low Cost Provider determination.
  7. On the Capacity tab, specify the number of passengers the provider can transport on a daily basis during the contract:
    1. Specifying the From Date and To Date.
    2. Type the maximum number of passengers for each day of the week.
    To add additional date ranges, specify the new date range in the next row marked by an asterisk (*).
  8. Click the Save button:
    Diskette.

Results

The provider is added to the grid on the Select tab.
