Workforce Management

If selected, Admin Actions are required when creating Performance Details records. An error message appears if the user clicks OK in the Performance Details or Add Performance Details dialog box before adding an Admin Action in the Administrative Action(s) area.

If cleared, a Performance Details record can be created without completing the Admin Action field.

To use this property, the OPS > Employee Profile > Force Employee ID to Match Badge Number system property must be cleared.

• A new field, PerformanceTypeAbbr was added to the OPSPerformanceBalance table.
• The OPS > Workforce Management > Performance > Performance Type Group For Points Balance property was removed.

  (There is an OPS Upgrade Utility for this: Upgrade 21.0 Step 34. Update Calculate Performance Balance. Reference: OPS-25170)

• A new property was created: OPS > Workforce Management > Performance > Performance Value Balance > Show Quarters.

  If selected, the Performance Value Balance screen allows users to generate opening performance points values for employees per quarter.

  If cleared, performance value balances are generated for the From Date of the employee's first Status record. Selected by default.

• In the Performance Value Balance screen, a Performance Type column was added. This shows the performance type associated with the generated Performance Value.
• In the Performance Value Balance screen Context (F3), Performance Type was added, Supervisor Group was removed, and the Quarter Option is now only available if the OPS > Workforce Management > Performance > Performance Value Balance > Show Quarters property is selected. Note that when performance point balances are generated, they are based on the defined Context. If multiple Performance Types are selected, a performance point value balance record is added for each performance type.
• In the Performance Value Generation dialog, Quarter information is now only shown if the OPS > Workforce Management > Performance > Performance Value Balance > Show Quarters property is selected.
• In the Employee Profile - Performance Points screen, a Performance Type column was added. It shows the performance type associated with the Performance Value. Points are now deducted by performance type.

  Properties can be set to define automatic points generation at night, or users can use OPS Job Management to configure automatic points generation.

  Points balance generation details are available in the OPS Process Log under OPS Process: Performance Generation.

• December 8 (after 21.2.0.0) - In the Performance Value Generation dialog, an Effective Date field was added. If Quarters are not used, when there is a value (and no custom service), point balances are generated for all employees where their initial Status From Date is the same as the defined Effective Date. If no Effective Date is defined, then no employee points balances are generated.

• A new field, IsGenerated was added to the OPSPerformanceBalance table.
• In the Employee Profile - Performance Points screen, a new button, Performance Adjustments, was added. This launches the Performance Point Adjustment dialog which allows users to modify the available performance points for the selected record.

  To define a new performance point value, select the Date for the adjustment, define the Performance Value, add any Comments, and click in the next row to save the record. Select OK to exit.

  If using Quarters, the Adjustment is noted and added or subtracted from the Opening Balance. If Quarters aren't used, the adjustment is the new Opening Balance for the Performance Value.

Manually added adjustments can also be edited using the Performance Points Adjustments dialog (automatically generated balances can't be edited).

• The performance point balance always shows a balance for all existing performance types.
• Performance balance adjustment only works from the Start balance row.
• When using quarters, the adjustment date must be within the quarter date range.
• When using quarters, the Balance Year column becomes a Quarter column.
• If not using quarters, only dates after the starting balance date can be used. The sort order of the screen is now PerformanceType, Date.

Secure access to fields defined as address-related information is no longer controlled by non-address Employee Profile security keys.

Fixed an issue where the OpsEmployeeMessageTypes table was not populated correctly

Improved the logic of updating the message types for employee messages in both versions.

Added a utility to populate the OpsEmployeeMessageTypes table in version 21.x under System Maintenance.

To save files to your computer, in the Manage and View Attachments dialog, select a Document Name and then select Save As... Navigate to the save location and update the file name if needed. Select Save. A confirmation message appears. Close the Manage and View Attachments dialog.

The warning message when attempting to edit the From Date or Absence Type of an absence with an associated performance record was updated to clearly indicate the reason: "The {From Date} was not modified. This is because there is an employee performance record associated with this transaction..."

Now, a Please enter a valid date. error appears.

Now, if you select Add Performance Details on an open-ended absence, an error message appears.

The OPS > OPS Tools > Employee Picture Import > Import Files security permission was removed.

Now, to import multiple employee pictures, use the OPS Job Configuration screen.

To create an EmployeePictureImport job, open the OPS Job Configuration screen and define the Context (F3).

Enter a Schedule Name, From Date, To Date, and Division.

Use Job Type: Standard User Define and Process Name: EmployeePictureImport.

Trapeze recommends using Frequency: Daily and selecting which days of the week to run the job using the Week Template (this can be every day or only for specific week days).

Enter the Schedule Time for when the job will run. Select the job to see information about it in the lower half of the screen.

Now, divisions are loaded from the Service Shell. If you are updating division permissions, you must close and restart the Client Shell or open OPS Upgrade Utilities, select System Maintenance, and run Reset OPS Cache Data for changes to take effect.

The property description was updated to Specifies the format for employee pictures in the Employee Profile screen. Format options are .GIF, .BMP, .JPEG, .JPG and .PNG. If you select None, employee pictures do not appear in the Employee Profile screen. The selected format also applies to images uploaded from the picture import directory defined in OPS/Interfaces/Import/​​Employee Picture Import/Directory when using the EmployeePictureImport process.

The EmployeePictureImport process is used in the OPS Job Configuration screen.

• progress bars were added where needed
• reduced the number of service calls being made
• tabs are refreshed even if no data is returned

A note was also added to the Conflicting Work Assignments dialog to indicate that selecting Cancel prevents the system from creating an absence or opening the work based on the user's decision to respect the work assignment conflict.

If no picture exists for an employee, the default picture is applied when the EmployeePictureImport process is run from the OPS Job Configuration screen.

To see the most recent version of default employee images, in the OPS Upgrade Utilities screen, under System Maintenance, select Reset Ancillary Cache Data and then Perform Upgrade Integrity Check.

A Cancel button was also added to the FMLA Restrictions dialog.

Now, when All Agencies is selected as the Agency, All Divisions is listed, as expected.

The Daily Activity screen was updated so that the Mobile Phone and Email fields are shown in the Employees view. Double-click on the blue link to send an email.

Note that you must select the absence type before updating the From Date or To Date; otherwise, an error is shown.
