Adding Feedback Responsibilities

The Feedback Responsibilities screen provides an alternative method of assigning work in the Investigators screen, allowing you to define the departments and/or individuals responsible for specific types of feedback.

For example, Investigator Bob from Department A is responsible for all Lost & Found inquiries. Thus, when a feedback entry is begun for Lost & Found inquiries, the investigator (Investigator Bob), department (department A), and any distribution lists associated with the investigator are automatically assigned to the feedback when it is saved.
  1. Click Ancillary > Feedback Responsibilities.

  2. Click the Add New button: Add New button
  3. In the Feedback Type field of the new row, choose an option, for example, Complaint.
  4. In the Feedback Subtype field, choose a subtype.
  5. Optional: In the Division Id field, choose a division.
  6. In the DepartmentAbbr field, choose a department.
    Only departments associated with the division you selected in the previous step are listed.
  7. In the Initial Distribution List field, choose the group to which the feedback is to be sent by email. If no group is selected, the distribution list associated with the investigator (step 9) is used when sending feedback concerning the subtype.
  8. In the Reminder Distribution List, choose the distribution list to which a reminder should be sent about the action required for the feedback.
  9. In the Escalation Distribution List, choose the distribution list to which the feedback should be sent if the feedback has not been resolved or acted on.
  10. (For OPS and PASS users) In the EmployeeGroupId field, choose the appropriate employee group.
  11. In the Investigator field, choose an investigator.
    Dropdown list options are determined by data specified in the Investigators screen. For example, if you choose Department A in step 6, you are only allowed to choose investigators assigned to Department A in the Investigators screen whose login names appear in the Investigators screen.
    If no division/department is selected in steps 5 and 6, the dropdown list shows all investigators whose login names are typed in the Investigators screen.
  12. Click the Save button: Save button
A number is automatically generated for the new record in the Feedback Responsibility Id field.

When feedback is typed and saved with the selected feedback type and subtype, the department, division, investigator and distribution list are automatically assigned as well.
