Creating Incident Records

When creating incident records, you have the option of creating a Live incident or a Simulation incident.

About this task

New Live incidents use production data to cancel client trips, assign clients to shelters, and schedule evacuation trips.

New Simulation incidents use a copy of production data to perform the same tasks without affecting live data.

Once an incident record has been created, the affected areas need to be identified on the map and prioritized for evacuation. Incidents do not necessarily require clients to be evacuated, especially if the incident only involves road and bridge closures. In such cases, simply defining road closures will be enough for PASS to reroute trips and recalculate trip times. Time-related violations may result in multiple run itineraries during such incidents.

Procedure

  1. Click the Main Menu tab.
  2. Click Manage Incidents.
  3. On the right side of the screen, click one of the following buttons:
    • New Live The text: New Live, inside a blue rectangle.
    • New SimulationThe text: New Simulation, inside a blue rectangle.
    The screen automatically shows the Incident step.
  4. Provide the following information about the incident:
    Incident ID
    Automatically populated by the system.
    Name
    Type a name for the incident.

    For example, Chemical Spill.

    Incident Type
    Click an incident type in the drop-down list.

    These incident types are defined in ancillary data.

    Comments
    Type any comments about the incident.
    Start
    Specify the date and time when the incident began.
    End
    Specify the date and time when the incident is expected to be over.
    Evacuation Start
    Specify the date and time when clients will be evacuated.

    If no date and time are specified, Evacuation populates with the specified Start date and a time of 0:00 (midnight).

    Evacuation Period
    Specify the number of days after the start of the evacuation that trips will be available for clients to be evacuated.
    Return
    Specify the date and time when clients can return home.
    Return Period
    Specify the number of days after the end of the evacuation that trips will be available for clients to be transported home.
    IVR Greeting Message
    Type the IVR (Interactive Voice Response), which will notify the client when there is an emergency.
  5. Define the affected areas.
  6. Prioritize the affected areas.
  7. Show the clients and trips affected by the incident.
  8. If needed, update the affected area's street speeds and note any road closures.
  9. Click the Save button:
    Diskette.
  10. When prompted to save the incident data, click OK.
