Working With Absence Requests in the Client Shell

As a result of employee requests and activities in ESS, certain tasks may need to be performed in the Client Shell.

Absence requests can be made in ESS or in the Client Shell through the Absence Requests screen. The Absence Requests screen lets you review absence requests and print detailed reports.

Supervisors can view, grant, deny, and delete requests. When you grant or deny an absence request, or change a granted request, the system creates an employee message informing the employee of the change.

Based on your system property settings, absence requests can be granted automatically. In that case, the system doesn't create employee messages. If your system isn't set up to automatically grant absences, you will need to grant or deny absences. You may also want to reset an absence that has been granted or denied to pending.

  1. In the Client Shell, open the Absence Requests screen and set the Context (F3).
    1. Define the From Date and To Date for the absence requests.
    2. Select the Agency and Divisions.
    3. From the Request Order list, select the order in which absence requests will be addressed.
      Request Order is specified in the Absence Type ancillary data screen and only request orders defined there are shown in this list.
    4. Select the Absence Types to view.
      Only absence types with the selected request order are shown in this list.
  2. Select an absence request in the left pane.
    Details of the request appear in the right pane.
  3. To see request details in a printable form:
    1. Select Absence Request Detail.
      The Absence Request Report displays in a separate window.
    2. Select the Print button at the top of the report.
  4. To grant a request, do the following:
    You can only grant a request if all earlier requests in the list have been granted or denied.
    1. Ensure all requests higher in the list have been granted or denied.
    2. Select a request with a Request Status of Pending.
    3. In the screen toolbar, select Grant Absence Request: Grant Absence Request
      If the request overlaps another absence, an error message appears.
      If the new absence generates an absence alert, the Absence Alert dialog appears.
  5. To deny a request, do the following:
    1. Select a request with a Result Status of Pending.
    2. In the screen toolbar, select Deny Absence Request: Deny Absence Request
  6. To change the status of a request to pending:
    1. Select a previously denied or granted request.
    2. In the screen toolbar, select Pending Absence Request: Pending Absence Request
  7. To manually add a request, do the following:
    1. In the detail view, right-click and select Add New Record.
    2. Enter the Employee name or badge number.
    3. Enter the From Date, From Time, To Date, and To Time for the absence.
    4. Select the Absence Type Id for the absence.
      Available absence types are based on the Request Order selected in the Context.
    5. If applicable, select an absence Quota Type, Absence Reason Id, Relationship Id, or Accrual Hierarchy.

    6. Select Save.
      After creating the absence request, it can be granted or denied.
  8. To delete a request, do the following:
    If an absence request is deleted from an employee record (in the Employee Profile screen), the request still appears in the Absence Requests screen. Delete the absence request manually.
    1. On the Absence Requests screen, view and select the absence that to delete.
      Note:
      Your permissions control your ability to delete granted absence requests.
    2. In the standard toolbar, select Delete:
      Delete
      If there are conflicting work assignments, a dialog appears.
    3. Select Re-assign for the work to reassign to the employee.
      OPS checks the defined work assignment rules. If another employee is holding down work on the absence days, a dialog appears.
    4. Select OK.
