Creating Bookings Using Quick Booking

Quick Booking can be a speedier way of creating trips for clients.

Procedure

  1. Press the CTRL and SHIFT keys, and then click the Trip Booking button:
    Blue telephone.
    Quick Booking appears.

    A system administrator can make Quick Booking the main place from which to create all bookings, by clicking Tools > System Properties, and on the Profile tab, under PASS Booking Client > Default SchedTrip Booking Wizard Screen selecting the New or New Expanded option.

    If New or New Expanded is applied, you can still use classic Trip Booking by pressing CTRL + SHIFT and clicking the Trip Booking button.

  2. In the Client field, type the last name of the client.
  3. Optional: Specify the date in the Date field.
    By default, the current date is populated in this field.
  4. Check existing bookings for the date specified to make sure you are not creating a double booking.
  5. Optional: In the Phone field, type the client’s phone number.
  6. Type and geocode the origin and destination addresses.
    If there are pick-up or drop-off addresses defined as defaults in the client record, they automatically appear in the address fields.
  7. In the Req. Time field, type the time the client is to be picked up from the point of origin.
    By default, the current time on your workstation is shown in this field.
  8. Optional: If the client cannot be dropped off later than a certain time (for example, to fulfill an appointment), type the time in the ApptTime field.
  9. Optional: To create a return trip, click the Return field and type a time that the client is to be picked up from the destination back to the origin.
    A return trip is created simultaneously with the outbound trip when you click Save.

    Alternatively, you can leave this field blank and click the Reverse Booking button after you have saved the outbound trip.

  10. In the Pass Type field, choose the passenger types to be included if you have additional passengers.
    By default, the Pass Type field shows the passenger types (client and additional passengers) specified in the client’s file.
  11. Optional: In the Comments field, type a comment for the booking.
  12. Optional: Click the Expand/Collapse button to enter additional information in the fields of the Detail tab.
  13. Click the Save button.
    If a message warns you that the client is only eligible for a date range that does not include the specified date, click No to clear the client’s name from the Client field, or click Yes to type the client name in the Client field.

Results

The booking is saved and a fare is calculated in the Fare field for the booking.

Fares are calculated using the fare types associated with the passenger types specified (rather than the Fare Type assigned to the client file on the Detail tab of Client Registration).
