Scheduling Bookings to Runs Using Schedule Booking Wizard

This method allows you to insert a single schedule into a run.

Before you begin

Schedule Booking Wizard must be open.

Procedure

  1. In the Schedule Booking Wizard screen, ensure that P (Para) appears in the MOT (Mode of Transport) field.
  2. If the trip has not previously been scheduled, select the SearchW check box on the left of the screen.
    Use the SearchW filter for bookings that are being scheduled for the first time. If you are rescheduling a booking, make sure that the SearchW check box is left unselected to maintain the negotiated time.
  3. Do one of the following:
    • Click Wizard > Find Solutions.
    • Click the Find Solutions button:
      Blue binoculars.
    The system generates scheduling solutions in the middle pane.

    Typically, the solutions generated by the system are limited to providers listed in the Client record. This behavior is set by a system administrator using the property found in Tools > System Properties, on the Profile tab, under PASS Scheduling > Enforce Client Providers.

    The parameter set and violation set used when Schedule Booking Wizard is launched are based on the Sched Multi Parameters settings defined in File > Ancillary Data > Para > Service > Sched Multi Parameters and the ParaServiceId of the booking, when applicable. Note that this does not apply if multiple bookings are scheduled at the same time.

  4. In the middle pane, highlight the run solution to use.
    The system lists solutions in numeric order from most to least efficient. It is usually best to select the first solution in the list.
  5. View the run itinerary of the chosen schedule in the third view.
    If the run itinerary is not shown, right-click in the bottom pane and click Run Events in Itinerary. A check mark appears next to this option when it is activated.
  6. Optional: Open your map and click the Display button:

    The map shows the pick-up and drop-off times and location of the booking.
  7. Click the Save button:

    Saving this solution schedules the client to a run. It also means that you have reserved the spot on the run for the client in order to prevent other passengers from taking the spot.
    The Run ID, ST (schedule time), and ET (estimated time) for the pick-up and drop-off are assigned to the Client/Booking view and the text turns blue.
  8. Check with your client to see if the scheduling solution is acceptable. If the client agrees to it, click Negotiate:
    A handshake.
    Do not click the Negotiate button before you save a solution for a booking. Clicking Negotiate too early may result in mismatched schedule and negotiated times.

    For example, you choose a solution with a 9:30 pick-up for a booking with a requested pick-up time of 9:15. If you click the Negotiate button, the negotiated time (NT) is stamped with the requested time (ST). Then, if you click the Save button, the scheduled time (9:30) is stamped on the booking. As a result, a mismatch exists because the scheduled time (ST) is 9:30 and the negotiated time (NT) is 9:15. Always save the record and then negotiate a solution for a booking.

    In the Client Booking view, the schedule (ST) and negotiated times (NT) are shown and the booking data turns green when you have negotiated a schedule.
  9. Click the Exit button:
