Adding Detailed Information to Employee Records

Once you have created an employee record you can type detailed information about the employee on the Detail tab.

Before you begin

Employees must be open.

About this task

Some of the fields on this tab pertain to drivers only.

Procedure

  1. Click the Detail tab.
  2. Provide the following information as required:
    1. In the Licence frame, type the Code, Number, and Expiry Date of the employee’s driver license in the appropriate fields.
    2. In the Emergency Info frame, type the name of a Contact person, specify the Relation between this person and the employee (for example, spouse, parent), and type the Phone number of the contact.
    3. In the Seniority Date field, type the date when the employee attained seniority status.
    4. In the Last Physical, Next Physical, and Last Drug Test fields, type the dates of the employee's relevant medical examinations.
    5. In the Certifications field, type any certification that the employee has acquired.
    6. In the Drug Test Results field, type the employee’s drug test results.
    7. In the Comment field, type any comments about the employee.
    8. In the Location Restricted Access Allowed field, click any restricted access locations to which the employee is authorized to travel.
      If an employee not marked as allowed at a restricted location is assigned to a run during a period of time where the run will perform an event at that restricted location, an R violation occurs. On the applicable restricted location trip event in the Run Itinerary, one of the following violations is visible:
      • R-D—Restricted Access Driver violation

      • R-CD—Restricted Access Co-Driver violation

  3. Add any required Supplementary Data information.
  4. For sites using MDTs:
    1. Select the Supervisor check box if the employee can be assigned as a supervisor. See the SupervisorMate System Administrator and User Guide for more information.
    2. Select the Assist check box if the employee can be assigned as an assistant for clients.
  5. Click the Save button:
