Common Fields in the Employee Card

An overview of fields on the employee record.

The Employee Profile screen can be customized, so you might not see all the fields listed.

Field Description
Address #
Street address. Because there can be more than one address field, fields are labeled numerically (for example, Address1, Address2, Address3).
Note: If you select the OPS > Employee Profile > Address > Use Address Table property, address information appears in a separate Address pane.
Alt. Telephone Alternate telephone number.
Attachments Documents, pictures, video or audio files attached to the employee record.
Award Eligibility Date Date the employee is eligible for a safe driving award.
Badge Number Badge number.
Birth Date Birth date.
Certifications Certifications.
City City.
Comments General comments.
Default Space Type Default space type.
Documentation Required If selected, the employee must provide documentation (for example, a doctor’s note) when returning to work from an absence. When the employee signs in following an absence, an employee message indicates that absence documentation must be provided.
Driver License Code Driver license type/grade.
Driver License Expiry Driver license expiration date. Actions linked to the date can be set in system properties to warn administrators of the impending expiry.
Driver License Number Driver license number.
Drivers License State State where the driver license was issued.
Drug Test Results Last drug test results.
EMail Email address.
Emergency Contact Name of emergency contact person.
Emergency Contact Rel Relationship of emergency contact person to employee.
Emergency Phone Emergency contact phone number.
Employee Code Unique employee identification code (typically the payroll number).
Employee Id Internal code that can be set to equal the badge number.
First Name First name.
Gender One-character abbreviation associated with the operator's preferred pronoun(s). To add more pronoun options, contact a system administrator.
Hire Date Date the employee was hired. This isn't the same as the Start Date.
Identity Security user account for the employee.

To view and edit this field, the following security permissions must be granted: OPS > Employee Profile > Employee Card > View > Identity Name and OPS > Employee Profile > Employee Card > Edit > Identity Name

Last Award Date Date the employee last received a safe driving award.
Last Drug Test Date of the employee’s last drug test.
Last Name Last name.
Last Physical Date of the employee’s last physical examination.
Longevity Date Date used for determining pay rates where Hire Date and Start Date apply to the current position. Longevity dates can be used to correctly award pay bonuses to employees who have been with your agency for longer than credited according to their Step Progression Dates (for example, if employees switched departments in the organization).
Marital Status Marital status.
Middle Name Middle name.
Mobile Phone Mobile phone number.
Next Appraisal Date Date of the employee’s next performance appraisal.
Next Physical Date of the employee’s next physical examination.
Nick Name Nickname.
Number of Awards Number of safe driving awards that the employee has received.
Pay Rate Pay rate calculated using the step progression method or imported. You can't edit the pay rate value in the employee card.
Provider Provider associated with the employee.
Position Position.
Safe Driving Start Date Date the employee started the safe driving program.
Seniority
Seniority ranking used in determining bidding order. The lower the seniority number, the higher the seniority rank relative to other employees.
Note: OPS Seniority Calculation ancillary data specifies how seniority and vacation seniority rankings are assigned.
Seniority Date Date the employee is credited for accruing seniority. Used to define seniority rankings where more than one employee shares the same seniority.
SmartCardId Smart card identification number.
SMS Address SMS address.
SSN Social security number.
Start Date Actual work start date Not the same as the Hire Date.
State State or province.
Status Status.
Step Progression Date Date pay rates begin. The Step Progression Date might not equal the Start Date. If your agency uses step progression as the pay rate calculation method, Step Progression Date is a required field.
Sup Number Supervisor number.
Suspended From Date Start date of the employee’s suspension.
Suspended To Date End date of the employee’s suspension.
Telephone Telephone number.
Termination Date Termination date.
Title Title (Mr., Mrs., Ms.).
Vacation Seniority
Used to rank employees for vacations. Vacation seniority rankings may differ from regular seniority rankings, depending on your agency rules. The lower the Vacation Seniority number, the higher the vacation seniority rank relative to other employees.
Note: OPS Seniority Calculation ancillary data specifies how seniority and vacation seniority rankings are assigned.
Vacation Seniority Date Date an employee is credited for accruing vacation seniority.
VacationGroup Employee’s vacation group. Vacation groups are used to group employees for rotating vacation bids among groups. There may be seniority rankings within each group.
VTT Date Employee’s verification of transit training (VTT) date.
ZIP Zip code.
