Assigning Volunteers to Work in the Client Shell

Client Shell users can assign volunteers to work. ESS shows assigned volunteers on the Posting Reports > Volunteer page.

Available volunteers should already be defined in the system. This may be done by employees themselves in ESS, or by Client Shell users in the Employee Profile screen, the Employee Volunteer Status Entry screen, the Daily Employee List screen, or the Daily Activity screen.
Employees can see assigned volunteers for their daily volunteer types in Work > Posting Reports, on the Volunteer tab. Assigned volunteer work is also added to employee calendars as work assignments. This task describes only one of the ways that volunteers can be assigned to work.
  1. In the Client Shell, open the Daily Activity screen.
  2. Set the Context (F3).
    You can narrow the list of employees shown to those in the volunteer list, or to a specific volunteer type, on the Employees tab.

  3. Select available work to be assigned and then select Assign Employee.
    Depending on your system configuration, you can also use the Suggest Employee option. This requires configuration by a system administrator or your Trapeze representative.

  4. Enter the Employee badge number or start typing a last name to see suggestions.
  5. In Assign Type, select Daily Volunteer.
  6. In Detail Type, select the volunteer type to associate with the assignment.
  7. Select OK.
  8. To see who will appear on the list, open the Daily Employee List screen and set the Context (F3) to the Date, Agency, and Division. Select Volunteer and choose the Volunteer Type to view. You will need to check each volunteer type separately.
After volunteers have been assigned to work, use the Publish Assignments screen to post the volunteer and extraboard reports and show volunteer information in ESS.
Employees showing on the daily list will see the volunteer posting report information for their volunteer types in ESS, and employees with assignments can view their work on the Calendar page.
