Marking Incidents as Sent in Dispatch
Think of the Incidents list in Dispatch as a checklist of all things scheduled to occur for a single day’s operation.
Before you begin
About this task
For sites that perform manual dispatching (that is, not using MDTs):
As soon as driver manifests are printed, all incidents MUST be marked as sent By Log Sheet immediately to prevent any new incidents (for example, a trip cancellation) from being added to the list.
It is easy to overlook a new incident in this interval. If it is overlooked and it is marked with all other incidents as sent By Log Sheet, the driver will be unaware of this change.
Procedure
-
Click the Incidents tab and make sure you have the correct date
in the schedule box.
The schedule field shows the present date by default.
-
Select the Unsent check box.
You would typically only be concerned with incidents that have NOT been sent to drivers. Selecting BOTH or NEITHER of the Unsent and Sent check boxes shows all sent and unsent incidents.
- Choose all other necessary filters.
-
Click Display.
The Incidents tab lists all incidents to be dispatched to drivers.
- After you dispatch the incident to the driver, select that incident on the list and click Mark to display a list of options.
-
Select one of the options to record the method by which the incident is sent:
- Unsent
- Places a sent incident back on the Unsent Incidents list. Use this for incidents that have been sent by mistake or in the event that the MDT is not responding.
- By Log Sheet
- (DL) Indicates that the selected incident(s) has already been printed out on a driver manifest on the previous day and given to the driver.
- By Voice
- (DV) Indicates that the driver was notified of the incident by radio.
- By MDT
- (DM) Indicates that the incident was sent through the Mobile Data Terminal.
- All in the Schedule
- Selects all incidents in the schedule for the entire day so that they can all be
marked as one of the methods above (for example, By Log Sheet).
When you select the All in Schedule check box and select an incident type, a This will mark all the events for the current schedule, not just ones selected in the Events list. Do you want to proceed? message appears. Click Yes to continue or click No to cancel the activity.
The All in Schedule check box should be used ONLY after printing all driver manifests to ensure that new incidents (not on the manifests) are not inadvertently marked off the Incidents list.
If you use MDTs, NEVER select All in the Schedule to be sent By Log Sheet because it will disrupt the MDT process.
