About Policy Phases

Policy stages (for example, Warning Alert 1 and Suspension), are comprised of a number of phases.

Some phases are common to multiple stages, while others are unique. Phases can serve as a holding area for cases, or they may require user action. For example, cases are held in the Closed phase until they can be moved to the Archived phase, and are held in the Investigation phase until all infractions are investigated and the case is promoted.

Initial Initial A holding area for cases in the Initial stage that have not reached the minimum threshold amount for a warning alert or violation alert, and have not been active long enough to move into the Closed phase.

The Initial stage is typically found in Behavioral policies. To see it in other policy types, the PassEligibility > CasesScreen > Show initial stage in policy context property must be selected.

Investigation Warning, Violation Alert, Appeal A client infraction is currently being investigated to determine if it is a valid infraction or if the infraction should be forgiven.
Compose Warning, Violation Alert, Appeal A letter is being created or modified to be sent to the client.
Delivered Warning, Violation Alert, Appeal A letter has been sent to the client and the client case is waiting until a new policy infraction occurs or the defined time period has passed.

For example, additional policy infractions may move a case from the warning Delivered phase to the violation alert Investigation phase. Alternatively, the defined threshold time period passes with no new policy infraction, the client case may move from the Delivered phase to the Closed phase.

Closed Initial, Warning, Violation Alert, Appeal, Suspended The client case has been resolved in the defined policy stage and the appropriate grace period has passed.
Suspended 1st Violation Suspended Level phases (for example, 1st Level and 2nd Level) are holding areas for cases whose clients are suspended.

Cases are moved to the correct suspension level based on the defined To Violation Count.

Suspended 2nd Violation Suspended Level phases (for example, 1st Level and 2nd Level) are holding areas for cases whose clients are suspended.

Cases are moved to the correct suspension level based on the defined To Violation Count.

Subsequent Violations Suspended Holding area for suspended clients who exceed the highest suspension level's criteria.
Archived Archived After a case has been in the Delivered or Closed phase for the equivalent of the policy Threshold Time Period, it moves automatically from a stage's Closed phase into the Archived phase of the Archived stage.
