Creating ShortFare Policies

ShortFare policies allow you to automatically tally the amount of money owed by the client.

Before you begin

In this setup, ShortFare policies look for the difference between FareToCollect (the amount a driver should collect from the client) and FareCollected (the amount the driver actually collected from the client).

Procedure

  1. In the Trapeze4 Workstation, do the following:
    1. Click Tools > System Properties.
    2. On the Profile tab, click Faring > Enable Prepaid Faring Deductions.
    3. Confirm that the property is set to No.
If this property is set to Yes and then updated to No, restart the system.
  2. In Context Properties, do the following:
    1. Confirm that PASS > PassInfoServer > Faring > EnablePrepaidFaringDeductions is cleared.
    2. Use the PassEligibility > Policies > ShortFare > InfractionSyncDelay context property to define the number of days to wait before importing ShortFare infractions into Service Infractions.
This helps prevent ShortFare infraction errors. If FareCollected amounts for a trip (in Schedule Editor) are altered after the defined number of days, incorrect information may be passed to or visible in Service Infractions.
  3. Open the Service Infractions module to the Policies tab.
  4. Click Add.
The Add A Policy dialog box appears.
  5. Type a Name for the policy.
  6. Select the Type as ShortFare.
The Threshold Calculation Type is defined as Count.
  7. Type or select a Start Date and End Date for the policy.
  8. Select whether or not this is a Multi-period case.
If Multi-period case is selected, the ShortFare policy must have a Threshold Time Period of Fixed Duration, a Violation Calculation Type of Infractions, and a Time Period Unit of Month. A Case Life Span must also be defined.
  9. In the Threshold Time Period field, select either Rolling Window or Fixed Duration.
If Rolling Window is selected, define a Rolling Window Duration.
  10. Select a Violation Calculation Type.
    Infractions
Determines violations based on total number of infractions within the case period.
    Suspensions
Determines violations based on the total number of suspensions for the client.

If Suspensions is used with a Fixed Duration Threshold Calculation Type, define a Lookback Horizon. (The Lookback Horizon is the period of time that the system should check for previous suspensions.)

    Flag Periods
Determines violations based on the total number of defined Time Period Units that meet the Infraction threshold in the defined Lookback Horizon time period.

For example, if (for a Count Threshold Calculation Type) Time Period Unit is defined as Month, Infraction threshold is defined as 3, and Lookback Horizon is defined as 12, the system will check the last 12 months for any 1-month periods that contain 3 or more infractions.

The default Lookback Horizon is 1. (It cannot be 0.)

Flag Periods cannot be used with the Rolling Window Threshold Time Period.

Trapeze recommends setting up Warnings and Violation Alert stages with consecutive Threshold Value (#)s when using flag periods policies.

  11. Select a Case Promotion type.
    Same Stage
Cases will be promoted within the same stage even if the client has incurred enough infractions to meet the threshold of a higher stage.

For example, a client must receive a warning letter before a suspension letter.

    Highest Stage
Cases will be promoted to the highest stage applicable to the number of infractions incurred by the client.

For example, a client is suspended without receiving a warning letter.

Note: Case promotion pertains to the Warning Alert and Violation Alert stages. If multiple Suspension levels are defined and the client is suspended, they are automatically penalized at the highest applicable suspension level.
  12. If trips with a payment of $0 should be included in the policy, select Include Zero Payment Trips.
  13. Type a Description of the policy.
  14. Click OK.
  15. Define any Infraction Criteria.
Booking Purposes infraction criteria are not available for ShortFare policies.
Schedule Status infraction criteria automatically include Scheduled, Arrive, and Performed statuses.
  16. Define any Stages and Phases information.

What to do next

Information is automatically saved. Before you can use the policy, it must be activated.
