About Absence Quotas

Absence quotas specify how many employees in a division or group of divisions can have specific types of absences on a day or in a week.

Absence quotas are created using the Absence Quota Config screen.

Note: Before you can create absence quotas, absence quota types must be created in ancillary data. Absence quota types specify the absence lengths and types tracked in absence quotas.

If an absence quota is defined for a date range and division, Trapeze OPS can check the quota when absences are created in the Employee Profile or Daily Activity screen. When a day is activated, OPS removes work from operators with planned absences so that the work can be assigned to other operators.

To record planned absences, such as vacation time, you can do the following:

  • Run absence bids, where employees choose their planned vacation time.

    During absence bids, OPS limits the number of employees who select vacation on days and weeks specified in absence quotas. For example, limiting the number of operators on vacation between Christmas and New Year to make sure that enough operators are available during this time to provide transit services.

  • Generate planned absence days for employees. For example, generating vacation absences for employees on their birthdays.
  • Enter absences in the Employee Profile screen or Work Planner. Typically, shorter absences are entered in the Employee Profile screen, and longer absences are entered in the Work Planner.
  • If Employee Self-Service Employee Information is used at your agency, employees can request absence time using a secure web page. Managers can then accept or refuse the requests.

For unplanned absences, where employees are absent on days that have already been activated, enter absences in the Daily Activity screen. Associated employee work can then be opened or reassigned.
