Creating Work Assignment Assistant Profiles

At least one profile must exist in order to use Work Assignment Assistant.

The OPS > Work Assignment Assistant > WorkAssignmentProfile properties determine how this feature works.
  1. Open the Work Assignment Assistant Profile screen.
  2. Open the Context (F3).
    1. Select the Agency for which you are creating the profile.
    2. Select New from the Profile dropdown list.
      You can edit profiles by selecting them from the dropdown menu. However, you can't change a profile's name or agency.
  3. Enter the Profile Name.
  4. Enter a Sequence number.
    This specifies the profile's position in the Work Assignment Assistant Context dialog. The profile with the lowest number appears at the top of the list. If two or more profiles have the same sequence number, they're listed alphabetically by name.
  5. Do one of the following:
    • Select Extra Board to assign extra board employees to work. Then select the Extra Board Type(s) to assign.
    • Select Volunteers to assign volunteers to work. Then select the Volunteer Type(s) to assign.
  6. Select the Division(s) to assign work.
  7. Enter the Number of Employees to Process.
    For example, to assign 10 AM volunteers and then 10 PM volunteers, enter 10 in this field. You can then run the Work Assignment Assistant to assign AM volunteers to work, reset the Context to assign PM volunteers, and run the Work Assignment Assistant again to complete the assignments. Enter 0 to indicate all employees on the list are processed.
  8. In the Hours Limit for Pre-Assigned Employees fields, enter the number of previously assigned work hours that prevent an operator from being assigned more work.
    For example, if the Max entry is 8, an operator assigned 8 or more hours of work won't be assigned more work. However, if the operator was previously assigned 7 hours, they could be assigned 1 more hour of work. You can specify a minimum number of hours to make sure that employees are assigned at least that much work.
  9. Optional: Select an entry from the Force Custom Assign Type dropdown list.
    The values in this list are specified in the OPS Custom Assignment Types ancillary data screen.
  10. Optional: Select Employee Sort to specify a sort order for employees.
  11. Optional: Select Order Work to specify a sort order for work.
  12. Select Filter Work to assign only the specified work.
    For example, to limit assignments to work with a sign-on time between noon and 1∶00 PM, select the Sign On Time field and enter 12∶00 and 13∶00 in the From Time and To Time fields.
  13. Select Parameter and set the values as required.
  14. Optional: Select Run Profile During Activate Day.
    When a day is activated, Trapeze OPS determines the correct work assignment profile based on the activated day's division. If this option is selected, Work Assignment Assistant will run once the activation process is complete.
  15. Optional: Select Warn If Already Ran to receive a warning message when you run Work Assignment Assistant twice for a day using this profile.
    You will have the option of either running Work Assignment Assistant again or canceling it.
  16. In the right pane, select the types of work to assign and the sequence to assign them in by doing the following:
    1. Select Assign to include that type of work in the assignment process.
      You must select the Group type to include grouped work in the assignment process.
    2. Enter a number in the Sequence field to specify the priority for assigning the work.
      0 is the highest priority. If more than one record has the same sequence number, OPS moves between the equally prioritized work types according to work time when assigning shifts. For example, if the sequence value of AM straight time and PM straight time is 1, OPS first tries to assign the longest piece of either type first, then the next longest piece of either type, and so on.
    The Type and Work Subtype field values are pulled from ancillary data. You don't have to change them here.
