OPS Incident Column Groups
OPS Incident Column Groups ancillary data defines access levels for specific fields in incident records.
Access levels control the fields that users can see and edit in incident records. If an access level isn't specified for a field, all users can see and edit the field.
Using permission keys (found in ), you can grant access levels to users. Users can then see or edit incident report fields with access levels that are the same or less than their granted access level (there are 5 levels). For example, users granted access level 3 can see or edit fields with access levels 3, 2, and 1.
You can create multiple groups of access levels, and associate them with different incident types using OPS Incident Types ancillary data. For example, you could create one group of access levels that prevent most users from seeing detailed information about accidents that are under investigation, and create another group of access levels that enable users to see all information about accidents that were unavoidable.
Trapeze OPS includes an All Columns group of access levels, and a workspace with appropriate layouts for this access level for the Employee Profile, Daily Activity, OPS Dispatch Log, and OPS Incidents Admin screens. You can change the provided workspace layout as appropriate, and create workspace layouts appropriate for other incident column groups.
Access levels are enforced in all OPS screens and reports, including the Employee Profile screen, Daily Activity screen, OPS Dispatch Log, OPS Incidents Admin screen, and Incident Report.
| Field | Description |
|---|---|
| Access Level | Access level for the specified field in the specified group. Available values range from one to five. Users can see incident record fields with access levels that are the same or lower than the levels that they're granted. |
| Column Name | Incident report field to which the access level applies. |
| Description | Description of the incident record field access level. |
| Group Code | Group of access levels in which you are specifying this field access level. In each group, you can specify one access level for each field. |
| Mandatory | If selected, the field must be completed in all incident records. If a field is mandatory, its access level must be one (1). Be careful when marking the Mandatory flag. Some fields can't be populated under some circumstances. For example, fields that are only populated for fixed route divisions shouldn't be defined as mandatory for use in demand response divisions. |
| Notification | If selected, and OPS Work Assignment Notifications is used at your agency, the field is included in email notifications when incident records are created or changed. OPS Incident Types ancillary data specifies when notifications are sent for each incident type. |
| Table Name | Table where the incident report field is stored in the database. |
