Accrual Types

Accrual Types ancillary data defines types of time that employees can accrue. For example, vacation and sick days.

After accrual types are defined, use the Accrual Balance ancillary data screen to enter employee accrual balances.

Field Description
Accrual Calendar Method Method used to determine the accrual year of an absence:
  • Entire Absence. Uses the entire absence to determine the accrual year.
  • Begin of Absence. Uses the FromDate of the absence to find the appropriate accrual year.
  • End of Absence. Uses the ToDate of the absence to find the appropriate accrual year.

Use the Accrual Calendar button to define accrual calendar years.

Accrual Effective Specifies whether accruals of this type are effective at the start or end of a day:
  • End of Business Day. Accruals are effective at the end of a business day.
  • Start of Business. Accruals are effective at the start of a business day.
Accrual Type Name or abbreviation for the accrual type.
Apply Custom Rounding If selected, pay transactions are rounded based on agency's pay rules on rounding.
Description Description of the accrual type.
Enforce If selected, accruals of this type are enforced.

If the employee’s eligible accrual balance isn't sufficient to cover an employee’s absence, the system prohibits the absence.

Entitlement Absence Type Group Group of absences that applies to the Eligible Balance field in the Employee Profile - Accrual Balance screen.

For example, an employee sick bank may consist of two types of absences (Usage Absence Type Group), but only one absence type is counted when looking at the eligible balance for the sick bank.

Entitlement Pay Code Group Used to calculate Timekeeping.

If Use Pay Value is selected, either Entitlement Pay Code Group or Usage Pay Code Group is required.

Expiration Method Accrual balance expiration method:
  • No Expiration. Accrual balances of this type carry over years.
  • Accrual Year End. Accrual balances of this type expire on the date set in the Accrual Year End Date field.
  • Calculated. Accrual balances of this type expire at the time calculated using the Time Units, Time, and RefDate fields.
If Zero Pay code if your agency pays negative balances differently than positive hours.

A negative balance could result if, for example, an employee has five hours of sick time and uses eight hours of sick time.

Max To Deduct Maximum daily deduction when an employee uses an accrual of this type. For example, 8h00.

Min. Eligible Balance Minimum balance that must be met before an employee can use any of the accrual balance as per type.
Pay Code Pay code associated with the accrual type.

Available to clients installed prior to June 2001.

Usage Pay Code Group The Pay Code ancillary group that uses this accrual type.
RefDate Start date for the accrual period. For example, Hire Date, Start Date, Review Date.
Show in Time Unit Time unit used when showing accrual type values:
  • Hours
  • Days
  • Days and Hours

Time Period in which accruals of this type are counted.

For example, if you choose Month in the Time Units field and enter 9 in this field, the period is nine months.

Time Units Time units by which accruals of this type are counted:
  • Day
  • Week
  • Month
  • Year
Usage Absence Type Group Absence Types ancillary group to which this accrual type applies.

For example, if you are defining the sick bank, choose the group of absences that describe the type of sick days employees may have at your agency.

Linked to the Accrual Balance field in the Employee Profile - Accrual Balance screen.

Use Designated If selected, the maximum daily hours are deducted from the employee’s accrual eligible balance.

The maximum deduction is entered in the Max To Deduct column or is calculated by dividing the employee type’s hours per week by the number of working days in a week (to accommodate compressed work weeks). For example, 8 hours per day or 10 hours per day.

Use Pay Value If selected, the pay value (either Usage Pay Code Group or Entitlement Pay Code Group) is used when this type of balance is accrued or used.

For example, if employees work 10 hour days, they're credited with days that are 10 hours long when absent or selling back time.

Audit Shows who modified a record and when the modification was performed.
